How to send an invoice on WhatsApp from your shop
· 4 min read
Paper bills get lost, crumpled and left on the counter. A bill on the customer’s WhatsApp stays with them, can be found again by searching a name, and is there the day they need to prove a purchase. Here is how sending one works from the counter in Store Mitr, and how to make it a habit at your shop.
What the customer receives
The customer gets your invoice as a message on their WhatsApp, showing your store name and logo, the invoice number, each item with its quantity and price, and the total. If you have added your UPI ID to your Store profile, it appears on the invoice too. Prices on an invoice are fixed on the day of the sale, so changing a product’s price later never changes an old bill.
Send it while billing
The invoice goes out as part of the sale — there is no separate step to remember. The only thing you need is the customer’s phone number.
- Open Sale and add the items to the cart by scanning or searching.
- Enter the customer’s 10-digit mobile number on the bill. A name is optional.
- Choose how they are paying — Cash, UPI, Card or Khata — and confirm the sale.
- Store Mitr creates the invoice and sends it to that number on WhatsApp automatically. You will see whether it was sent.
If it does not go through
A WhatsApp failure never cancels a sale. If the number was wrong, or the message could not be delivered at that moment, the sale still stands, the stock is already reduced and the invoice exists. Open Sales History, find the bill, and use the WhatsApp invoice button to send it again — once an invoice has been sent, the same button reads Resend, so you can tell at a glance what has and has not gone out.
Making it a habit at the counter
This part is advice rather than a feature, and it is where most shops win or lose. Ask for the number as part of billing, the same way you ask “cash or UPI?”. A short line like “WhatsApp number for the bill?” takes two seconds, and a customer who has seen the bill arrive on their phone is far more likely to give it the next time.
Know your monthly allowance
Each Store Mitr plan includes a monthly number of WhatsApp invoices, with higher plans including more or unlimited. If you are a high-volume counter, check the allowance for your plan on the pricing page before you rely on it for every bill.
Want a paper copy as well?
A WhatsApp invoice does not replace a printed slip for customers who want one at the counter. The Store Mitr Bluetooth thermal printer prints 58mm receipts, and the two work side by side: the printer for the person standing there, WhatsApp for the copy they will find later.
WhatsApp invoices are included in every Store Mitr plan, and you can try them during the free trial.
