How to manage your shop’s inventory from a phone

You do not need a computer behind the counter to keep track of stock. If you have a smartphone and an internet connection, you can add products, count stock and see what is running low while standing at the shelf. This guide covers how to set that up.

What you need

A smartphone with a camera, a mobile data or Wi-Fi connection, and a Store Mitr account. Store Mitr runs in the phone’s browser at storemitr.shop, so there is nothing to install. Dedicated Android and iOS apps are planned; you can reserve your spot on the download page. The web version does need an internet connection — it does not work offline yet.

Add products by scanning

The quickest way to build your catalogue is to walk the shelves with your phone.

  1. Open Inventory and tap Scanner. Allow camera access when your browser asks.
  2. Point the camera at a product’s barcode.
  3. If Store Mitr has not seen the barcode before, the New item form opens with the barcode already filled in. Add the name, selling price and starting quantity, and save.
  4. If the product already exists, you go straight to adjusting its count instead.

Products without a barcode

Plenty of shop items have no barcode — loose goods, your own preparations, handwritten-tag items. Tap Add instead, choose that the product has no barcode, and fill in the name and price. If it is sold by weight, mark it as variable and set the unit and the price per unit so you can bill quantities like 1.5 kg.

Keep counts right as you go

When new stock arrives, scan the item and adjust its count. If you buy from suppliers regularly, you can also record a purchase order and receive the goods against it, which adds the quantity to stock for you. Stock then reduces automatically with every sale.

Every manual change is recorded in Stock History with the earlier count, the adjustment, the final count, who made it and when — so if a number looks wrong on Monday you can see exactly what happened on Saturday.

Let low stock come to you

Set a low-stock level on each product that matters. When the count reaches it, the product is highlighted in red in the Inventory list, and owners and managers see a low-stock count on the Home dashboard. Set the levels for your fast movers first — the items where running out costs you a sale today.

Who should be able to change stock?

Managers can add and adjust products, and along with the Owner they are the only people who see cost prices. Owners can do the same when acting as a Manager. Cashiers make sales but do not have an Inventory tab. Give your stockroom person a Manager login, and keep counter staff as Cashiers — that way the person selling can never quietly change the count.

Tips for a clean start

Start with your top fifty sellers, not all five thousand items; a catalogue that is accurate for the products that matter beats a complete one that nobody trusts. Add the rest as they sell. And count once, carefully, on the day you go live, so every future adjustment starts from a true number.
